The report that gets written twice
Findings noted on a checklist on site become a formatted, branded inspection report the same day. Nothing gets typed up from memory once you’re back at the desk and the details have gone soft.
For independent fire risk assessors, fire door inspectors and inspection businesses
Back-office software for fire safety inspection businesses, built around a day spent on site with a checklist, not behind a desk typing up findings.
Twenty minutes on the phone. We ask questions. We don’t pitch.
In practice
A site checklist becomes a formatted inspection report the same day. The next due date gets tracked, so a client’s compliance doesn’t quietly lapse.
01 · Where an inspection business like yours usually leaks
None of this needs you to inspect any differently. It just needs the paperwork to stop trailing three days behind the visit.
Findings noted on a checklist on site become a formatted, branded inspection report the same day. Nothing gets typed up from memory once you’re back at the desk and the details have gone soft.
Fire door checks, extinguisher servicing and alarm tests all run on a cycle. A client due for renewal gets a reminder and booking link ready to send before the date passes, rather than you working back through a spreadsheet to see who’s overdue.
Which site is due when, what the last inspection flagged, what’s still outstanding. Written down and findable by whoever picks up the phone, not just the assessor who did the visit.
One named example
Fire Door Inspection Scheme data from more than 100,000 inspections in 2021 found that 75% of the fire doors inspected failed to meet the required standard. In England, the Fire Safety (England) Regulations 2022 require quarterly checks of fire doors in the common parts of residential buildings with storeys over 11 metres, and annual checks of flat entrance doors.
That’s a recurring obligation, not a one-off inspection. A trigger tracks each site’s next due date against its inspection cycle and prepares a reminder with a booking link before the deadline, so the renewal doesn’t depend on someone noticing a spreadsheet is out of date.

We don’t build software that emails a client, issues a certificate, or books a job by itself. Every report, reminder and renewal notice is checked and sent by you.
The system does the formatting and the reminders. The professional judgement stays with you.
Every build includes a duplicate-send check, so a hiccup upstream can’t fire the same message twice.
02 · How it works
No contract and no on-site commitment to get to a working example.
Send us a checklist, a report template, or whatever paper process you’re sick of doing by hand.
A working example within 48 hours, free, no obligation. Just to see it.
Like it? We quote a fixed price to build it in properly. Don’t? Walk away, and you’ve lost nothing.
03 · What it costs
We price against three to six months of what the problem is currently costing you in time, not by the hour. We agree the number with you before any of it is built.
One job, one process. Typically live within a week.
The most common build for a business this size. Usually live within a fortnight.
Multiple linked processes or systems. Scoped and quoted before we start. Some builds cost more than this, and we’ll tell you that on the call, not after.
We stay after go-live. Most clients want someone keeping an eye on what we built rather than becoming its single point of failure themselves. That’s the Care Plan. It’s optional, and it only comes up once you’ve seen the build working.
Monitoring and fixes if something breaks. 12-month term.
Monitoring, fixes, and small changes as your process shifts. 12-month term.
Everything in Standard, with priority response. 12-month term.
Worth checking before anyone gets near client or site data.
No contract to book the call. If the free preview isn’t useful, you’ve lost half an hour, not a penny.
